Organized file handling is essential in a remote-first environment. At ADR Studio Management, we maintain structure and clarity across all departments by following consistent practices.

📁 Shared Folder Structure

Each department and project has designated folders within Google Drive. Always upload documents to the correct folder and avoid storing files locally when possible.

  • Maintain naming consistency (e.g. ProjectName_Asset_Type_Date)

  • Use folders for concepts, production assets, final deliveries

  • Archive old versions but don’t delete unless approved

🗂 Version Control

For documents and presentations, Google Drive’s built-in version history helps avoid confusion. Use "File > Version history" to:

  • Review edits

  • Restore previous versions

  • Track who made changes

📤 File Sharing

When sharing large files or high-resolution assets (videos, PSDs, motion graphics, etc.), use:

  • WeTransfer – for sending files up to 2GB quickly

  • Frame.io – for video reviews, comments, and version comparison

  • Company pCloud Drive and Google Drive – for internal collaboration or structured storage

When sharing files, always include:

  • A brief context (what the file is for)

  • A clear structure (folders or labels)

  • Expiration date or access expiry if needed

🔐 Access Management

  • Only give editing rights when necessary

  • Keep client folders shared with the right team only

  • Use shared drives for long-term access rather than private folders
