Project Management

Project Management

At ADR Studio Management, project management is the glue that connects creativity, strategy, and execution. With multiple teams and clients working across different time zones, we rely on clear structures, defined responsibilities, and real-time tools to keep everything aligned and on track.

🎯 Objectives

  • Deliver high-quality results on time and within scope

  • Ensure transparent communication between all stakeholders

  • Maintain accountability and clear task ownership

  • Avoid bottlenecks through proactive planning

πŸ›  Our Core Tool: ClickUp

ClickUp is the central hub for all task management and project planning. Every project has its own list, timeline, and statuses.

  • Tasks represent single pieces of work (e.g. "Design Instagram carousel for Horys")

  • Subtasks break complex items into steps (e.g. Research β†’ Draft β†’ Finalize)

  • Statuses help track progress: To Do β†’ In Progress β†’ Review β†’ Done

  • Comments are used for updates, questions, and feedback directly within tasks

Each task should include:

  • A clear title

  • Description or brief

  • Assignee

  • Due date

  • Priority (when applicable)

  • Attachments or links to reference material

πŸ”„ Workflow Structure

  1. Kickoff – Brief is defined by the Strategy or Client team

  2. Task Creation – PM creates and assigns tasks in ClickUp

  3. Execution – Design, content, or dev team works on delivery

  4. Review – Work goes through internal QA or creative approval

  5. Delivery – Final files are submitted to client or uploaded to platform

  6. Feedback Loop – Revisions are logged as new subtasks or cycles

  7. Closure – Task is marked as Done, and assets are archived

πŸ‘₯ Roles Involved

  • Project Manager – Oversees the entire workflow, ensures timelines are respected, and coordinates between teams

  • Team Leads – Ensure their team's output meets expectations and is submitted on time

  • Strategy/Creative Leads – Provide direction and approve final outcomes

  • Executors (Designers, Editors, Writers, etc.) – Carry out the task execution phase

πŸ“… Timelines & Priorities

We manage multiple overlapping projects. It’s essential to:

  • Update task statuses daily

  • Communicate blockers early

  • Respect internal deadlines, even before client deadlines

  • Prioritize based on urgency and impact (labeled in ClickUp)

🧩 Multi-Team Coordination

Each project may involve cross-functional input. The PM ensures:

  • No overlapping responsibilities

  • Everyone understands their part

  • Deliverables are passed clearly from one role to the next

  • All team members are aligned via Slack and ClickUp updates

Project management is not about control β€” it's about clarity. At ADR, we empower teams with structure so they can focus on doing what they do best: creating meaningful, impactful work.
